Senior Finance Officer

Financial Accounting & Compliance: Leads full-cycle accounting, including journal entries, ledgers, and bank reconciliations to ensure IFRS and donor compliance. Financial Closing: Oversees monthly and annual closings, preparing reconciliations for all Balance Sheet accounts such as AR, AP, payroll, and prepaids. Revenue Management: Manages Accounts Receivable and donor invoicing, tracking receipts, and calculating restricted fund income. Statutory Reporting: Generates IFRS-compliant financial statements and supporting schedules for statutory and donor reporting. Payroll & Staff Costing: Manages payroll processing and staff cost allocations across projects based on donor budgets and timesheets. Tax Filing: Submits monthly statutory filings (PAYE, NHIF, NSSF) and issues annual P9A forms. Budgeting & Forecasting: Contributes to budget formulation, monitors performance against budgets, and analyzes variances. Sub-grantee Oversight: Reviews sub-grantee financial reports for compliance and manages fund disbursements. Systems & Automation: Maintains QuickBooks records, integrates ERP with KRA e-TIMS, and leads digitization to reduce cycle times. Internal Controls & Audit: Updates financial procedures to align with GAIN policies and coordinates both internal and external audits. Team Leadership: Provides guidance to program teams and junior staff on expenditure coding and compliance standards.

Manager – Credit Control

Credit Control (35%): Evaluates client credit status to determine appropriate credit levels and identify debtors. Develops and implements admission, discharge, and credit-control policies. Negotiates repayment plans, manages disputed bills, and monitors repayment patterns. Prepares comprehensive aging analysis, collection reports, and written-off reports. Collaborates with the corporate schemes department on service level agreements and contracts. Financial Closing & Transaction Management (20%): Oversees all accounting transactions for month-end and annual closing. Manages bank account reconciliations and all Balance Sheet accounts monthly. Ensures the accuracy of profit/loss statements and balance sheets. Cost Accounting (15%): Analyzes production, material, labor, and overhead costs to identify savings. Implements cost control measures and allocates costs to products for accurate pricing. Performs variance analysis comparing actual vs. budgeted costs and manages inventory valuation. Management Accounting (15%): Develops long-term financial strategies and prepares budgets and forecasts. Monitors financial performance and uses modeling to project future scenarios. Prepares internal reports on KPIs and ensures procurement regulation compliance. Additional Duties (5%): Liaises with KRA regarding e-TIMS and iTax to ensure compliance and avoid penalties. Managed the integration of Microsoft Dynamics ERP with KRA systems. Assisted in sales by building customer rapport and conducting market visits.

Compliance: Ensures all financial matters adhere to MSI policies and specific donor regulations. Budget Development: Collaborates with program managers to maintain budgets for all MSI projects in Kenya. Reporting: Prepares expense reports, balance sheets, and income statements for all project activities. Monitoring: Tracks revenue streams and expenses to ensure financial targets are met. System Maintenance: Develops financial management procedures that meet best practices and maintains accurate documentation. Stakeholder Engagement: Liaises with donors and partners on financial matters and fosters internal collaboration. Capacity Building: Trains staff on budgeting processes and financial management. Operational Support: Optimizes resource utilization through workload assessment and responds to emergency situation details as relayed by dispatchers.
