Mission :
Under the supervision of the Head of the Hunger and Conflict Unit, your responsibility will be to oversee all aspects of the preparation, coordination and implementation of an international conference dedicated to the protection of humanitarian workers.
In this role, your responsibilities will include:
Coordinating the overall coherence of the conference and supporting institutional engagement; Ensuring the development of a reverse timeline and clear roles and responsibilities among the various stakeholders;
Coordinating relations with ECHO's office/management and serving as the focal point for broader institutional engagement with the EU, Member States, the UN, and partners before and during the conference;
Ensuring the follow-up and implementation by all stakeholders of decisions taken (respecting deadlines and content);
Ensuring the regular and structured communication of information and decisions to all stakeholders;
Ensuring coherence between the conference framework and advocacy activities developed within the framework of the Humanitarian Workers Protection Mechanism and other sectoral initiatives on the protection of humanitarian workers;
Overseeing the development of the conference content and logistics; Participating in the development of the conference's policy framework, in conjunction with all stakeholders (objectives, deliverables, agenda, structure).
Participate in identifying invitees, ensuring equitable representation of all regions and countries of interest to the theme.
Serve as the main point of contact to coordinate all requests related to the organization of the conference, concerning participants and speakers.
Participate in identifying high-level speakers and mobilizing key stakeholders before the conference (at the European and global levels).
Supervise and support the work of the Project Support Officer and Events Officer (particularly regarding logistics).
Represent the conference as needed, presenting its structure and objectives to external stakeholders.
Oversee the conclusions and post-conference action plan.

You have proven experience working for an international NGO, a UN agency, a European institution, or an organization operating in a political/humanitarian context.
You have experience managing complex projects involving institutional, diplomatic, or sectoral coordination, contributing to the organization of high-level events, and coordinating with multiple stakeholders: international and national NGOs, European institutions, the United Nations, donors, etc.
You understand the political, diplomatic, and humanitarian advocacy issues and are able to ensure strategic coherence between an event and its political/advocacy objectives. You are proficient in strategic planning processes, complex reverse planning, and decision monitoring, and are able to interact with high-level institutional actors and represent the conference externally.
You possess managerial skills that enable you to lead a team, unite people around a common goal, and define the optimal level of collective efficiency with your colleagues.
Organized and rigorous, you know how to manage priorities and adhere to procedures. Creative and attentive, you are a persuasive and proactive individual. You are adaptable and adept at managing complex situations in demanding environments.
You possess excellent written and verbal communication skills and are comfortable with public speaking, leading meetings and workshops. You are fluent in English, both spoken and written.
Employment conditions
Fixed-term contract of 7 months until 30/10/2026
Location: Brussels
Salary: Category: Deputy Director
Grade range: I to III
From €77,000 to €82,000 gross per year over 13 months depending on experience
Benefits: 10 additional days of leave (based on 12 months) in addition to the 20 days of statutory leave
