Description
Doctors Without Borders, an international humanitarian medical association created in 1971, provides medical assistance to populations whose lives are threatened: mainly in cases of armed conflict, but also epidemics, pandemics, natural disasters or exclusion from care.
The Intranet Information Manager implements the information management policy within their scope, as well as the appropriate information systems to enable headquarters and field teams to have the information necessary to conduct their activities.
Mission
Within the Information and Knowledge Management team at the IT Department (Information Systems Department), you will be responsible for maintaining the operational readiness of MSF France's intranet (collaborative workspaces, internal communication site) using SharePoint solutions. You will ensure compliance with best practices and document policies, the quality of business document repositories, and provide functional support to users.
As part of a project to modernize the EDM (Electronic Document Management), you will be required to contribute to the project of migrating the intranet portal to SharePoint solutions with the existing project team.
Main responsibilities
Reporting to the Information and Knowledge Management Manager
Operational maintenance (MCO) of intranet spaces:
To ensure the editorial management of information portals, their consistency, the updating of content, and their promotion
Coordinate the headquarters (subject matter experts, department assistants) and field (IT technician, record management officer) teams to ensure the proper use of spaces and the updating of documents.
Verification of the content of collaborative spaces and key field documents
Verification of the content, qualification and updates of reference documents essential to the operational work of field teams (documents, metadata, directory structure)
Promoting the adoption of good practices, standards, and documentation methods
Contribute to monitoring the records management policy and leveraging existing collaborative spaces, as well as to managing archives at headquarters.
Application user support:
To categorize the incidents reported by users of the various communication sites as well as collaborative spaces
Provide ad hoc briefings and training to users
Manage the administration of sites within the scope (including user access rights by profile, consultation and workspaces, and ongoing maintenance)
Contribution to the modernization of the intranet tool and the migration of the existing portal to SharePoint tools:
Mapping new information needs with the various departments to contribute to the definition of the new intranet portal (knowledge management, capitalization, centralization of information and essential documents for MSF France)
Create new collaborative, knowledge and communication spaces based on new needs (mock-ups, functional configuration)
Evolve the standards for better use of spaces in line with business needs (tree structure, metadata list, intranet architecture)
Use statistics and content usage to determine the corrective actions needed to improve tool usage
Contribute to industrializing monitoring (scripting, automatic analysis, AI).
Specific activities:
Ensuring the maintenance of the quality of the document repositories (=Toolbox)
Ensure the consistency of communication spaces (tree structure, rights management), and bring existing spaces into compliance in the event of standard changes.
Plan a timeline for monitoring communication spaces/Toolboxes by profession
Improve and automate tracking tools to facilitate monitoring and empower content editors (dashboard, automatic metadata population)
Facilitate several Toolbox committees, depending on the type of space, to ensure compliance with information and knowledge management policies.
Coordinate the work and priorities of several field actors in charge of information and knowledge management (IT technician, record management officer, mobile implementation officer)
Implement change management actions (training, webinars, communication) to increase the visibility of the intranet and develop user autonomy.
Participation in strategic committees in collaboration with the department head.
Desired profile
Education/Experience:
A degree from a university or school with a Bac +5 qualification in information and knowledge management would be an asset.
At least 2 years of experience in information management or IT project management / Intranet redesign. Experience on an implementation project in a Microsoft environment is a plus.

Understanding of communication challenges and information centralization on an intranet, information architecture and collaborative practices in the O365 tools environment

Employment conditions
Status: Permanent full-time contract. Management position, based in Paris with occasional travel to MSF intervention areas.
Salary and benefits: €47,800 gross annual salary paid over 13 months. 22 days of paid time off per year. Teleworking according to MSF's rules (2 days/week). 100% employer-paid health insurance. Meal vouchers worth €12 (60% covered by MSF). 50% reimbursement of public transport pass (weekly, monthly, or annual) or bicycle mileage allowance (€0.25 per km, capped at €450 per year).
