Description
The Logistics Assistant supports the ACTED logistics team in the processes of quoting, purchasing,
documentation and management of goods and services required for the implementation of projects, in accordance with
ACTED's logistics policies and procedures.
GENERAL OBJECTIVE
• In coordination with the ACTED Logistics Department in Caracas, provide specific and
exclusive support to the purchasing, contracting of goods and services, and inventory management processes for
ACTED projects in Colombia and Venezuela.
• SPECIFIC OBJECTIVES
• Prepare quotes, market research, and compile purchase documentation, according to the guidelines
of the direct supervisor and ACTED's purchasing policies;
• Coordinate with the ACTED logistics team and suppliers the management of transportation, lodging,
and the purchase of goods and services;
• Communicate frequently, clearly, and proactively the progress and/or difficulties with logistics processes and the
contracting of goods and services;
• Contribute to logistics reports according to instructions from the ACTED logistics area;
• Contribute to the proper management of the inventory of supplies and goods;
• Stay updated on the organization's logistics activities and processes; • Ensure that the logistics processes in which I participate comply with institutional and international logistics
standards and requirements ; • Perform any other logistical, security, administrative, document management, inventory and/or financial project activities that may be assigned to you.
DUTIES AND RESPONSIBILITIES
Purchasing
- Support the ACTED logistics area with purchasing processes for projects, including the preparation
of purchase orders, obtaining quotes and drafting of memos and contracts for review/signature
of the direct supervisor;
- Ensure adherence to purchasing procedures according to the respective scenario and ACTED policies
;
- Act as the focal point with suppliers of goods and services contracted by ACTED;
- Ensure that procurement documentation is completed and filed in accordance with
ACTED procedures;
- Monitor the validation, signature, and approval processes for purchases, ensuring that
purchases and records are passed between the logistics, finance, and coordination teams.
Inventory Management
In coordination with the ACTED Logistics Officer,
- Support the management and maintenance of inventories;
- Contribute to the procedures for receiving and shipping goods;
- Use and maintain the inventory form and conduct a monthly physical inventory;
- Ensure that teams correctly use the inventory forms.
Asset Management
- Develop and maintain the asset list;
- Prepare and track communications;
- Manage asset entry and exit processes;
- Verify that each asset is properly registered and filed;
- Ensure that assets are available and in good condition for each of the organization's missions.
Reports
- Report any updates promptly, clearly, and proactively to the ACTED Country Logistics Officer. -
Participate weekly in the ACTED logistics coordination meeting.
- Prepare progress reports on logistics processes, according to the information and timelines provided
by the direct supervisor.
Transportation
Support the logistical planning process for field or capital city travel by
reviewing available transportation options and service providers;
- In coordination with ACTED, manage the booking and purchase of flights, land and river transportation services
for mission projects.
- Support the management and tracking of vehicles and travel on field missions.
Internal Communication
- Foster a harmonious, respectful, and efficient work dynamic with the ACTED FLATS team
to ensure optimal execution of logistical processes;
- Continuously monitor progress in logistical processes and generate alerts when
delays or difficulties are anticipated that could affect project execution;
- Propose agile and proactive responses and solutions to barriers in logistical processes and
in meeting procurement and service contracting requirements.

PROFESSIONAL PROFILE/REQUIREMENTS
: • Technical or technological education; graduate in logistics administration,
business administration, or related fields.
• Minimum four (4) years of experience in logistics processes, quotations, purchasing, contracting of
goods and services suppliers, and inventory management.
• Experience in logistics management with social and humanitarian sector organizations will be viewed
favorably.
• Desirable knowledge of logistics, transportation, and lodging providers in various regions of the
country.
• CONTRACTUAL CONDITIONS:
- Service contract for 2.5 months, with the possibility of extensions based on
performance and funding.
- Caracas, Venezuela.
