About Pacific Labour Mobility Support Program
The Pacific Australia Labour Mobility (PALM) scheme is a signature initiative for the Australian Government that enables workers from 9 Pacific Island Countries (PICs) and Timor- Leste to work in priority sectors in Australia. The Pacific Labour Mobility Support Program’s (PLMSP) role is to provide the Department of Foreign Affairs and Trade (DFAT) and governments in 9 PICs and Timor-Leste with support to enable workers to access PALM scheme in inclusive ways that maximise the benefits for the workers and national economies while minimising risks from labour mobility participation. Palladium is contracted to deliver PLMSP on behalf of DFAT.
This Opportunity
The Project Coordinator – Special Projects will be responsible for administrative and operation al support to the Project Manager - Special Projects in delivering a portfolio of time-bound, high-priority initiatives that fall outside of business-as-usual operations. This role involves engaging with various internal teams across the PLMSP and liaising with external stakeholders to support the design, coordination, and delivery of these projects. The Project Coordinator will serve as a central point of contact for project communications, and will be responsible for compiling reports, maintaining project documentation, coordinating meetings, tracking progress, and performing a range of administrative functions essential to successful project delivery.
This is a fixed-term position through to September 2028, based at our Brisbane Head Office.
The Project Coordinator – Special Projects will be responsible for:
The primary responsibilities of the Project Coordinator – Special Projects can be broadly describ ed as follows:
· Provide administrative and operational support to assist in design and delivery of PLMSP Special Projects, including arranging meetings and events.
· Lead accurate and efficient management of correspondence, invitations, files, records and databases of contacts.
· Liaise with various PLMSP and external teams to gather information and ensure collaboration and consistency of approach.
· Draft grant agreements, monitor delivery progress, and track expenditure.
· Draft payment approval forms and collate necessary paperwork for submission to finance ahead of payment.
· Collate, coordinate and provide input into internal and external project progress reports, including monthly financial reporting.
· Support the Project Manager with whole of program compliance with DFAT policies including Fraud Management, Safeguarding, Risk Management and Value for Money principles.
· Work with the PLMSP Communications Team to develop content in relation to Special Projects.
· Understand how innovation and technology shape the way we work and introduce new ways of working through AI, data and technology.
· Develop and maintain client and stakeholder relationships across assignments and maintain professional, respectful and effective relationships with your colleagues.
· Proactively lead internal initiatives to seek improvements, encouraging team participation and sharing of new ideas.
· Train or buddy more junior colleagues; as well as support the onboarding and training of project teams on company policies and guidelines.
· Focus on self-development by assessing individual contribution against the capability framework, welcoming and embracing regular feedback from others and developing skills in providing balanced feedback to others.
· Create, promote and maintain an equitable, diverse and inclusive work environment through respecting the views of others, listening with empathy and resolving differences in a positive and constructive manner through applying effective conflict resolution techniques.
We are seeking an individual who:
· Tertiary qualification in a relevant discipline, such as Business, Management or related discipline.
· 3-5 years’ work experience in similar project support or management roles.
· Demonstrated relationship management skills, including the ability to work across a broader team and with external stakeholders.
· Excellent written and oral communications skills with demonstrated experience in using MS Word, MS Excel, MS PowerPoint, email and the Internet.
· Ability to work independently and demonstrate sound judgement.
· Demonstrated commitment to diversity and inclusion, particularly in a cross-cultural context.
· Previous exposure to, or an understanding of, Australia’s National Training System would be an advantage but not essential.
