Position: Reporting Officer
Salary: Starting from 1,192 JOD
Contract Duration: 6 months

THE ORGANIZATION

OBJECTIVE OF THE POSITION:
Under the line management of the Grants Manager, the Reporting Officer ensures the timely and high-quality management of project reporting and contributes to maintaining compliance with donor requirements across the mission.
The role supports coordination between project teams, shared services, and headquarters; maintains accurate and updated grant information; contributes to staff capacity building on reporting and documentation; and strengthens internal communication and information-sharing mechanisms within the Institutional Funding framework.
ABOUT THE GRANTS UNIT:
The Grants unit, responsible for Institutional Funding (IFs) and operating under the management of the Technical Head of Program. The Grants Unit works closely with the Gaza and West Bank teams in the management of Institutional Fundings, whether in terms of fund mobilization strategies, the development of new projects, or the management of signed contracts and reporting.
Responsibilities/ Missions:
Responsibility 1: Contribute to the drafting of project reports
Coordinate project reporting phases:
Develop schedules for each report, collaborating with the various departments involved (operations, finance, logistics, technical unit, security, HR and MEAL, headquarters and national association).
Prepare reporting templates, with the support of the Grants Unit
Contribute to effective coordination between project managers, area managers, technical specialists, and the operations manager for compiling contributions to narrative reports and monitoring donor contracts (a monitoring tool used at the geographical management level must be adapted).
Ensure coordination with shared services to guarantee the overall consistency of narrative and financial reports and the completeness of annexes.
Ensure the compilation of narrative versions for interim, monthly and final reports
Ensure quality control and compliance of narrative reports and annexes with donor requirements and procedures.
Regularly update information on grants and donor relations on the customer relationship management (CRM) platform (CRM platform currently under development).
Responsibility 2: Donor Compliance
Support the team on contractual issues and liaise with headquarters/partners: contractual process with partners and questions on donor rules, in agreement with the compliance and risk manager at headquarters and the IPO and IPSO (where applicable).
Support the organization of project kick-offs and closing meetings for all relevant staff / departments to ensure consistency in understanding the grant designs between departments and bases, as well as to promote the sharing of achievements and lessons learned.
Ensure regular communication and coordination with the IPSOs and IPOs of the National Associations, operations, and the headquarters compliance and risk manager for all updates on donor rules, regulations, and strategies or any cases of fraud or violation of donor guidelines.
Regularly update signed grant information (including contracts) on the Customer Relationship Management
Responsibility 3: Capacity building in reporting
Support the drafting and organization of training and support capacity building for all field staff of the organization and HI partner staff on program development and reporting, as well as on documentation specific to HI programs.
Facilitate field staff's knowledge of DFI Hinside spaces
Proactively raise compliance issues with program staff and department heads.
Archive donor feedback and adapt reports accordingly.
Responsibility 4: Internal coordination
Support the development of internal and external communication materials - Propose internal information channels and tools
Maintain the Grants Unit SharePoint updated and archive all project related documents
Structure and share information for dissemination to HQ, partners, and coordination forums (newsletters, presentations, videos, etc.)
Job Requirements
Degree in a relevant field (e.g. International Development, Business Administration, Development Studies)
2 years of experience in humanitarian organizations, focusing on reporting, grants management or project management
Familiar with project management, donor rules, planning, and internal coordination
Very good writing skills in English
Strong analytical and synthetic thinking skills.
Diplomatic, responsible, and cooperative.
The initial contract will be for a period of up to 6 months
