Position Summary
The Administrative Assistant plays a crucial role in supporting the Executive Assistant and executive team by managing calendars, coordinating travel, handling financial approvals, and maintaining documentation. The role involves data reporting, communication with stakeholders, and ensuring confidentiality. The assistant contributes to organisational alignment by upholding core values and supporting cross-functional collaboration.
Key Roles and Responsibilities
1. Process & Systems
-Maintain and update executive calendars, including travel itineraries and flight details as and when needed.
-Manage property time-share calendar and ensure accurate scheduling and update.
-Handle Sage Intacct approvals and ensure timely processing.
-Maintain accurate records and filing systems for all documentation.
-Support monthly reconciliation and management of credit card reconciliation.
-Liaise with Accounts Department for approvals and queries.
2. Data & Reporting
-Assist with Charity Commission and OSCR annual returns.
-Liaise with auditors and respond to ad hoc compliance requests.
-Prepare CEO, COO, CoS and Founding Director trip budgets and obtain relevant invoices from travel agents.
-Support the EA in compiling reports and documentation for executive use.
-Conduct general research to support decision-making and planning.
3. Meetings & Communication
-Register executives for events and conferences.
-Coordinate with internal and external stakeholders for travel and meeting logistics.
-Communicate effectively with the EA and other executives to ensure alignment and support.
-Ensure strict confidentiality and discretion in all communications and documentation.
4. Execution & Support
-Provide day-to-day administrative support to the EA as well as CEO, COO and CoS as needed.
-Assist with document preparation, data entry, and ad hoc tasks.
-Ensure timely follow-up on assigned tasks and requests.
-Take initiative to identify and resolve administrative issues proactively.

Knowledge, Skills and Abilities
1. Bachelor’s degree in business administration, Communication or related Social Sciences from a recognized University
2. Minimum 5 years’ experience in an administrative or support role with a proven track record.
3. Strong organizational and time-management skills.
4. Excellent written and verbal communication.
5. Self-motivated – especially important in a remote position, requiring proactive communication, time management, and the ability to work independently without direct supervision.
6. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
7. Experience with financial systems such as Sage is desirable.
8. Ability to work independently and collaboratively.
9. High level of professionalism and discretion.
10. Strong attention to detail and accuracy.
11. Ability to manage multiple tasks and priorities effectively.
12. Experience working in international or multicultural environments.
13. Familiarity with remote collaboration tools and practices.
