BACKGROUND:
The International Rescue Committee (IRC) helps people whose lives and livelihoods are shattered by conflict and disaster to survive, recover, and gain control of their future. The IRC’s Home Study and Post-Release Services (HSPRS) program for unaccompanied children in the U.S. is a national, multi-million-dollar project with ambitious - goals and a fast-paced implementation timeline.
The Home-Study Post Release Services Program (HS/PRS) program aims to:
Assess the safety and suitability of a sponsor before an unaccompanied child is released from custody into a sponsor’s care (Home Study)
Provide ongoing case management through remote and / or in-home visits to ensure the child’s continued safety and stability in sponsor’s homes, while connecting them to community -based (Post Release Services).
This position is part of a 36-month contract that ends on September 30, 2026
SCOPE OF WORK:
The Administrative Specialist is a full-time position supporting IRC’s Home Study and Post-Release Services (HSPRS) for Unaccompanied Children (UC). This role will primarily assist the Training and Community Engagement Team by providing administrative and outreach support, ensuring efficient coordination of program activities and smooth management of day-to-day processes.
Major Responsibilities:
Responsibilities include, but are not limited to:
Support the coordination and scheduling of trainings, ensuring logistics and materials are prepared in advance.
Track staff training progress, manage and administer follow up process, and maintain accurate records.
Prepare, maintain, and distribute training reports for internal use and leadership review.
Manage training and community engagement related data systems, ensuring information is accurate, updated, and accessible.
Assist in the development and administration of training evaluations to measure effectiveness and gather feedback.
Collaborate with the Quality Assurance team to align training and engagement data with program outcomes.
Support community engagement outreach by coordinating communications, structuring meetings with clear goals, and managing follow-up activities.
Assist in planning and coordinating meetings with partners and stakeholders, including logistics, agendas, and documentation.
Work with the Program Training Officer and Training Coordinator to address deficiencies found in regards to the training data management process and make recommendations accordingly.
Propose and implement solutions to address concerns related to training and data management improvement.
Maintain and updating existing training guides, documents, resources, spreadsheets, etc for both internal and office use as programmatic processes and information changes.
Ensure compliance of all HSPRS information and documentation is reflected in training products, including, slide decks, one pagers, best practice guides, templates, among other materials.
Coordinate with interns within the training and community engagement teams to ensure all above tasks are completed in a timely manner.
Comply with all IRC and contracted policies, procedures, and protocols including the IRC Way and Child Safeguarding Policy.

Job Requirements:
Education: High School diploma required. Bachelor’s degree in social work or related field of study preferred.
Work Experience:
Relevant professional experience in human services with a minimum of 2 years' experience is strongly preferred.
Experience working with refugee and/or immigrant populations strongly preferred.
Experience working with learning management systems.
Experience in the organization of data management processes.
Demonstrated Skills & Competencies:

Demonstrated success working and communicating effectively in various global environments and contexts.
Demonstrates excellent organizational and management skills in data management processes.

Self-starter with excellent problem-solving skills combined with the proven ability to multi-task, prioritize duties, and manage time effectively.
Attention to detail and accuracy in work product.
Fluent in English, both spoken and written.
Proficient in Microsoft Office applications (Word, Excel, Outlook); ability to use the internet and other digital tools for data entry, research, and problem-solving purposes.
Must be cleared and approved by Office of Refugee Resettlement and background check including FBI fingerprints and Child Abuse and Neglect checks required upon hire (initiated by IRC after acceptance of the position).

Compensation: (Pay Range: $19.00 - $27.00) Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget. Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirements.
